Templates let you save an RFQ's configuration as a reusable starting point. Instead of filling in the same details every time, you can load a template and adjust only what has changed.
A template captures the following fields from your RFQ:
- Title and scope of work / description
- Attached files and documents
- Supplier groups (your selected supplier pools)
- Payment terms
- Category
Templates are company-wide -- any team member in your organization can use a template that has been saved.
- Fill out the RFQ creation form with the details you want to reuse.
- In the form footer, click Save as Template.
- Give the template a descriptive name so your team can easily identify it later.
The template is saved immediately and becomes available for future RFQs.
- Start creating a new RFQ (see Creating an RFQ).
- Select a previously saved template from the template list.
- If you have already entered information in the form, the system will prompt you to save or discard your current draft before loading the template.
- Once loaded, review the pre-filled fields and make any necessary adjustments before submitting.
- Recurring specifications -- Save templates for part families or service categories you purchase regularly so your scope of work and documents are always consistent.
- Preferred supplier pools -- If you frequently send RFQs to the same group of suppliers, a template keeps that selection ready to go.
- Naming conventions -- Use clear, descriptive template names (e.g., "CNC Machined Parts - Steel" or "Annual Maintenance Services") so the whole team can find the right template quickly.
