Axya lets you export a comprehensive snapshot of any RFQ for use in your ERP system, internal records, or compliance documentation. The export captures the full state of the request, including all quotes received.
The export produces two files:
A formatted document that includes:
- Request details -- Creator, creation date, deadline, and request parameters.
- Line items -- The complete parts list with quantities, specifications, and descriptions.
- Supplier submissions -- All quotes received, including pricing, lead times, and supplier details.
- Competing bids -- A view of how suppliers compared against each other on the request.
A compressed archive containing all supplementary files attached to the RFQ:
- Technical specifications
- Engineering drawings
- Supporting documents uploaded by the buyer or suppliers
For Normal RFQs (with Axya-generated bid sheets), you can export supplier quotes as an Excel file:
- Contains all supplier pricing, quantities, and lead times in a structured spreadsheet
- Useful for detailed analysis or importing into your ERP system
For Simple RFQs, you can export your comparison views as spreadsheets:
- Exports the side-by-side supplier comparison data you've configured
- Preserves your selected columns and layout
- Open the RFQ detail page for the request you want to export.
- Click the three dots menu in the General Information section.
- Select the export type:
- PDF Summary — Generates the comprehensive RFQ document
- Download All Files — Downloads the ZIP archive of all supplier submissions and technical files
- Export Quotes (Excel) — Exports supplier quote data as a spreadsheet (Normal RFQs)
- Export Comparison — Exports comparison view data (Simple RFQs)
- ERP updates -- Use the exported data to create or update requisitions, purchase orders, or vendor records in your ERP system.
- Audit trails -- Maintain a complete record of the sourcing process, including all supplier responses and pricing history.
- Compliance documentation -- Provide evidence of competitive bidding and supplier evaluation for internal or external audits.
- Archival -- Store a permanent copy of the RFQ and all associated documents outside of Axya for long-term record keeping.
