In this guide, you will grasp the key concepts and learn how to effectively utilize the BOM import feature.
Within the Project page, you can initiate a new project in which you have the ability to import your own parts from an Excel sheet or create them manually from the parts data grid. A default template is assigned to the project with essential part attributes such as name, description, quantity, material, and process.
You have the option to pick pre-defined templates designed for various request types, often configured during company onboarding. This way, you can easily choose the right template when starting a new project.
In essence, the template mapping process guarantees that the information you import is accurately reflected in the supplier-facing quotation templates, facilitating a seamless and efficient RFQ process.
It's important to note that these templates can be customized to include specific fields with various types, ensuring they align with your RFQ template requirements. This flexibility allows you to tailor the templates according to your unique needs.
Currently, the platform does not support the creation of custom templates directly. However, you have the option to request Axya to generate templates for you, and there is no limit to this capability.
Step-by-Step Guide
The process of importing your parts into the project offers a convenient way to integrate your own data seamlessly. Here's how you can accomplish this task:
Download and Fill the Template: Upon accessing the project and selecting the template, you have the option to download the template in Excel format. This template serves as the foundation for inputting your parts' information. Fill out the template with your parts' details according to your needs.
Template Compatibility
If you prefer to use your own Excel template, ensure that the column headers in your template align with the columns in Axya's interface. This alignment is essential for accurate data mapping during the import process.
Import Process: Once your Excel template is ready, proceed to import it into the project. Click on the "Import Excel" button located in the dropdown menu. This action initiates the import process and brings your parts' information into the Axya platform.
Pay close attention to the language consistency between your Excel headers and the language settings in your Axya interface. If your Excel headers are in English but your Axya interface is set to French, or vice versa, the import process will fail. Ensuring language alignment is crucial to the success of the Excel import.
When it comes to incorporating files into your project, Axya offers flexibility through two distinct methods:
Bulk Part Attachments: Axya's BOM import functionality extends to include the ability to import multiple files directly into your project. These files are automatically linked to their corresponding parts based on their names. In cases where a file import encounters issues, the user will be prompted to engage in manual association by matching files with parts through an intuitive interface. This streamlined process ensures that your imported files are accurately aligned with their intended parts.
Prior to using the Bulk Upload feature, ensure your files are named with the names of their corresponding parts to avoid the need for manual file-to-part association, which can be time-consuming, especially with a substantial number of parts.
As an illustration, if your parts are labeled sequentially as "my-part1" and "my-part2," the bulk upload feature anticipates attachments named in a similar fashion, such as my-part1.pdf, mypart1.stp, my-part2.pdf, and so on.
Individual Part Attachments: Alternatively, you have the option to attach files individually to specific part rows.
Step by Step guide
After importing the BOM, you have the ability to send the RFQ to your group of suppliers directly from the project page. Suppliers utilizing the platform can submit quotes through a dedicated quotation form accessible within the application. Alternatively, suppliers who opt to respond via email or the supplier portal can conveniently provide quotes using a pre-generated quotation template sent to them via email. This template combines the part details imported from the Excel sheet with a designated price column.
Axya offers advanced flexibility with custom quotation templating. In scenarios where you require additional quotation columns beyond the default structure, you can create customized templates. This feature caters to specific needs that go beyond the standard quotation format. This requirement is commonly observed among companies in the aerospace industry or those involved in material procurement.
